Credit sales
How to enable a customer's credit with its limit and days, sell on credit from the POS, and what can block a credit sale.
Selling on credit (“fiado”) means handing over the goods today and collecting later. In Ahorra POS each credit sale goes on the customer’s account, with its due date, and you see it in Accounts Receivable. Credit sales and Accounts Receivable come with every plan.
Who can do it
- Enabling a customer’s credit, and setting its limit and days, is for administrators (admin) only.
- Selling on credit can be done by cashiers (cashier) and administrators, with their register open.
Step 1: enable the customer’s credit
No customer has credit when created: you enable it one by one.
- Go to Accounts Receivable › Customers. If the customer doesn’t exist yet, create them with New customer (name, ID, phone).
- On the customer’s row, press Credit terms.
- Turn on Credit enabled.
- Type the Credit limit: the most they can owe you. Leave it empty for no limit.
- Type the Days to pay, from 1 to 365. Each credit sale falls due that many days after it’s made.
- Press Save credit.
If you later disable credit, the customer can’t buy on credit anymore, but what they owe can still be collected.
Tip: an administrator can also enable it in the middle of a sale: the credit sale window shows an Enable credit button when the customer doesn’t have credit.
Step 2: sell on credit at the POS
- Build the cart as for any sale and go to charge it.
- Choose Credit sale (“Charge it to a customer’s account and collect later”).
- Find the customer by name, RNC/cédula or phone, or create them with New customer.
- Check the figures shown: Owes now, Credit limit, Available after this sale and Due.
- If the customer pays something today, turn on Down payment now (inicial), choose the payment method and type the Down payment. It must be more than zero and less than the total.
- If your business issues tax receipts, choose the receipt type as in a regular sale.
- Press Sell on credit. The button shows the amount that goes on credit.
The sale deducts stock from the warehouse, like any sale. When it’s done you can print the Credit invoice, in 80 mm or Letter format, with a space for the customer’s signature, and the Down payment receipt if there was one.
You can also sell a saved quote on credit: open it in Sales Orders and press Sell on credit. A sale with home delivery can go on credit too.
What blocks a credit sale
The app won’t let you finish the sale when:
- The customer doesn’t have credit enabled. If you aren’t an administrator, you’ll see “This customer doesn’t have credit. Ask an administrator to enable it.”
- The customer is inactive.
- The sale goes over the customer’s credit limit.
- Your register is closed: open it first.
- There isn’t enough stock in the warehouse.
- The chosen tax receipt needs data the customer doesn’t have, for example a tax credit invoice without the customer’s RNC or cédula.
If the customer has an overdue balance, the app warns you (“This customer has … overdue”), but it doesn’t block the sale: it’s your call.
What happens next
The sale shows as paid “On credit” in Sales Orders and as an open balance in Accounts Receivable › To collect, with its due date. That’s where you record payments when the customer pays.
Important: a credit sale that already has payments can’t be voided. Void the payments in Accounts Receivable first.
