Customers at checkout
How to name the customer, link a saved customer or create one on the spot, with their RNC or cédula and their addresses.
Every sale carries a customer’s name. It can be a walk-in with just a name, or a saved customer with their RNC or cédula, phone and addresses. Linking the customer saves you typing on every sale and is needed to issue a tax credit receipt or sell on credit.
Who can do it
Anyone who sells at the POS types the customer’s name. Picking a saved customer or creating a new one from the sale is available to the cashier and admin roles. Without that permission, the field is just a name.
A walk-in customer
In the POS cart, type the name in Customer Name (for example, “Juan” or “Customer”). It’s required to check out. If you don’t pick a suggestion, the sale is a walk-in, not linked to any account.
Pick a saved customer
- In Customer Name, start typing the name, the RNC or cédula, or the phone number.
- Pick the customer from the suggestions. Below the field you’ll see Customer: with their name, plus their RNC or cédula, phone and main address.
- The name stays editable for this sale: you can change it without touching the customer’s account.
- To unlink, tap the X next to Customer:.
Only active customers are suggested.
Create a customer on the spot
- Type the new customer’s name in Customer Name.
- In the suggestions, pick Create customer “…”.
- In New customer, fill in Name or business name and, if you have it, the ID type (RNC, Cédula or Passport) with its Number. An RNC has 9 digits and a cédula 11; the app warns you if the number doesn’t have the right format.
- Add Phone, Email, Notes and, if you like, their addresses.
- Tap Create customer. They’re linked to the sale and saved for next time.
RNC or cédula and the fiscal receipt
At checkout, the Tax credit and Government receipt types need a linked customer with an RNC or cédula (a passport doesn’t work for these). Consumer sales of 250 thousand pesos or more also need an identified customer. If one is missing, the charge window shows the warning and a Choose customer button that takes you back to the customer field. More in Issue e-CF and DGII status.
Saved addresses
Each customer can have up to 20 addresses, each with a Label (Home, Work, Store…), the Address and a Reference (“across from the corner store”). One of them is the Default address; the first one you save is the default until you choose another.
When you send a sale for delivery with a linked customer:
- Their phone, default address and its reference (as notes for the driver) are filled in for you. You can change any of them.
- If they have several addresses, pick one from the list or type another.
- If you type a new address, tick the Save to …’s addresses box (it shows their name) to add it to their record, with a label and reference.
Deliveries are available from the Pro plan (see Deliveries and the plans). To edit or delete addresses, open the customer in Accounts Receivable, Customers tab.
Credit sales
If the linked customer has credit enabled, you can charge the sale to their account with Credit sale: the window opens with that customer already picked. A credit sale is always billed under the customer’s account name, not the name typed in the cart. The whole process is in Credit sales.
Tip: Link your regular customers even when they pay up front. You won’t retype their details, and the order detail shows a link to their customer account.
