Issue e-CF and their DGII status
How each sale gets its e-CF, what each DGII status means and what to do when a document stays pending or is rejected.
With electronic invoicing on, every sale you charge goes out with its e-CF. Here you’ll see how the document type is picked at checkout, how to follow its DGII status and what to do when something doesn’t move.
Who can do it
- Pick the document at checkout: any user who charges sales, such as cashiers.
- See the list of documents: the business’s administrators (admin role), in Electronic invoicing.
- Retry or resend a document: administrators too.
Pick the document at checkout
- At the POS, press Checkout and then Save as Paid.
- In Charge order, find Fiscal receipt. Consumer (E32) is selected.
- Change the type if needed:
- Tax credit (E31) if the customer has an RNC or cédula and wants to deduct the ITBIS.
- Under More, Government (E45) for government institutions or Special regime (E44) for free zones and other special regimes.
- If the type needs an identified customer and the sale has none, press Choose customer. Tax credit and Government always need one; Consumer does from the amount the DGII sets.
- Pick the payment method and press Charge with the amount.
On a Credit sale you pick the document the same way. You only see the types your business has an active range with numbers left for.
What happens when you charge
Ahorra POS signs the e-CF with your certificate, gives it the next e-NCF and opens the printed invoice with the QR code and the security code. Sending it to the DGII happens in the background, so the sale doesn’t wait for the answer. Smaller consumer invoices are reported to the DGII through their summary (RFCE).
A document’s statuses
In Electronic invoicing › Documents every e-CF shows its status:
- Pending: signed, not sent to the DGII yet.
- Sent: the DGII received it and is validating it.
- Accepted: valid with the DGII.
- Conditionally accepted: also valid; the DGII left remarks you can read in the details.
- Rejected: it has no fiscal validity. Check the DGII’s messages.
- Paper (contingency) and Series B: sales that took a series-B NCF instead of an e-CF (see Contingency and series-B NCF).
Review your documents
- Go to Electronic invoicing. It opens on the Documents tab.
- At the top you see how many are Pending, Sent, Accepted, Conditionally accepted and Rejected.
- Filter by e-NCF or tax ID, status, type and dates. Press Refresh to bring in the changes.
- Tap a document to open its Document details: the Track ID (DGII), the Security code, the Signature date, the Source (for example, the order) and the DGII messages.
From the details you can Download XML, Download RFCE (when the invoice carries a summary) and, if it comes from a sale, View printed receipt to print it again.
If a document doesn’t move
Ahorra POS retries the sending on its own. If a document stays Pending or Sent, open its details and press Retry submission. The rules allow 72 hours at most to transmit: if there are documents unsent for hours, you’ll see a warning above the list.
If the DGII rejects it
A Rejected document has no fiscal validity. Read the rejection codes under DGII messages to see what to fix.
When the DGII allows using the same e-NCF again, the details say so and Fix and resend appears:
- Press Fix and resend and confirm.
- A new document with the same e-NCF is created and sent to the DGII. The rejected one stays as a record, labeled Superseded.
- If it was a consumer invoice with a summary, only the summary is signed again: the invoice you handed over doesn’t change. Otherwise the document is signed again, with a new security code and QR: give your customer the new printed invoice.
Tip: If the DGII doesn’t allow reusing the number, or you’re not sure what to fix, write to us and we’ll help you sort it out.
