e-CF received from your suppliers

Where you see the e-CF your suppliers send you, how to approve or reject them with the DGII and how to register them as an expense.

When a supplier that issues e-CF bills you, its document arrives in Ahorra POS. There you review it, give your commercial approval (accept or reject it) and, if you approve it, register it as an expense for your 606.

What you need

  • Your business certified as an electronic issuer and your digital certificate uploaded. During certification, your addresses for receiving documents (Reception URL and Approval URL) are declared to the DGII; suppliers send their e-CF to those addresses. See Activate electronic invoicing.
  • To register a document as an expense, the Expenses module, available from the Pro plan (see plans).

Who can do it

The business’s administrators (admin role): they see Electronic invoicing, approve or reject documents and register them as expenses.

See the received documents

  1. Go to Electronic invoicing › Received. The tab shows how many are waiting for your decision.
  2. Search by RNC, supplier or e-NCF, or filter by Approval and Month.
  3. Tap a document to see its details: the supplier’s data, the line items, the totals with their ITBIS and the Payment Terms.
  4. If you need it, press Download XML to keep the original document.

Approve or reject it

The commercial approval tells the supplier and the DGII whether you accept the document. Until you decide, it shows as Pending.

  1. Open the document.
  2. If everything is right, press Approve.
  3. If it doesn’t match (wrong amounts, goods you didn’t receive), press Reject, type the Rejection reason (required, up to 250 characters) and press Confirm Rejection.

Ahorra POS signs your answer with your certificate and delivers it to the supplier and the DGII. Under Commercial Approval & Delivery you see how each delivery is going: Issuer delivery and DGII copy, as Pending, Delivered or Failed.

Important: The decision is final: an approved or rejected document can’t be changed afterwards.

If a delivery doesn’t get through, Ahorra POS retries it for 72 hours. If it ends up Failed, press Retry approval delivery.

Register it as an expense

Available from the Pro plan, on approved documents of type E31, E32, E44 and E45.

  1. Open an Approved document and press Register as expense.
  2. Pick the 606 Category (Goods/services type).
  3. Check the Document Date: it’s the date the expense enters the month’s 606 with.
  4. Press Register Expense.

An unpaid expense is created with the document’s figures already filled in. In the received list, the In Expenses column links to the expense, and from the details you can go there with View in Expenses. A document can be registered only once.

Tip: Check the Received tab often and register the expenses within the month: your 606 will be complete without hunting for invoices at the last minute.
