Credit and debit notes
How the credit note (E34) is issued when you void or return a sale, the 30-day ITBIS rule and how debit notes (E33) work.
An e-CF already issued is never deleted or edited: it’s corrected with a note. The credit note (E34) takes away from an invoice and the debit note (E33) adds to it. In Ahorra POS the credit note is issued on its own when you void or return a sale.
Who can do it
The business’s administrators (admin role) can void sales and record returns. They see the Void sale and Return items buttons in Sales Orders.
The credit note (E34) when you void a sale
- Go to Sales Orders and open the charged sale.
- Press Void sale.
- Review the When voiding this sale list: the stock that comes back, the refund and the line “An electronic credit note (E34) will be issued voiding” the sale’s e-NCF.
- Type the Reason for voiding (required, up to 90 characters) and press Void sale.
The credit note (E34) when you return items
- On the same sale, press Return items.
- Pick which items and how many units come back.
- Review the Estimated refund and the credit note line, type the Return reason and confirm.
The sale stays paid, and the credit note covers only what was returned. You can make several returns until everything is back. The full walkthrough is in Void or return a sale.
What happens next
- The note shows up in Electronic invoicing › Documents as an E34, with the document it modifies under Referenced document.
- It’s sent to the DGII like any e-CF and goes through the same statuses (see Issue e-CF and their DGII status).
- The note uses your E34 range. Always keep one active with numbers left: it’s one of the requirements to issue e-CF.
The 30-day ITBIS rule
If you void or return a sale more than 30 days after it was issued, the credit note is still issued and the customer still gets the refund. What changes is the ITBIS: the DGII doesn’t allow reducing it when the affected invoice is more than 30 days old. Ahorra POS flags it on the note and doesn’t deduct that ITBIS in your tax reports. You don’t have to do anything.
Sales with a series-B NCF
If the sale went out with a series-B NCF:
- With Series-B receipts on, the return gets a series-B credit note (B04). If you’ve already turned e-CF issuing on, it gets an E34 that modifies that NCF.
- If the sale was made in contingency and isn’t regularized yet, a full void issues no note: the app asks for the DGII annulment type, and that NCF is reported as voided in the 608. To return only part of it, regularize the contingency first.
More in Contingency and series-B NCF.
The debit note (E33)
A debit note charges something added to an invoice already issued, such as a later fee or interest. Today it doesn’t have its own screen in Ahorra POS. If you need to issue one, write to us and our team will help.
Tip: If the customer returns only part of the sale, use Return items instead of voiding the whole sale: the credit note covers only what came back.
